Format Mails

The E.G.G.S.™ team has found that the optimum setting to keep your email intact in its formatting from your end to the subscriber end, the word wrapping should be set to 50 characters per line. E.G.G.S.™ allows you to set this in the Edit Preferences section.

E.G.G.S.™ also allows you to specify the mail format. In case you are sending HTML based email messages; you can copy and paste the HTML code directly into the message text area. Otherwise, if you are using plaintext, you can just copy and paste the text into the text area. Your message will be sent unaltered.

You can also add a subject to your mail.

First of all, choosing the right subject of your email is part of the key to success of your business. It should be convincing and very easy to understand. It should be attractive and short. The end effect being that your subscriber opens your mail and reads the content, thereby you achieving first goal in mail marketing, i.e. getting subscribers interested in your message.

The second step is that the content you send via email should be easy and readable by majority of users. This means compatibility issues and knowing the minimum hardware and software resources your subscribers are using, i.e. if they are able and/or prefer to receive HTML emails, or just plain text. Also, if they are able to read media rich mails containing linked Flash content. E.G.G.S.™ provides you means to format mail according to preference of HTML or plain text.

Remember that no one likes to see a heavy and large mail in their inbox eating up space. If you send mails that are bulky and large in size, eventually you will loose subscriptions. Always keep your mails small sized and light weight. This is also recommended for speedy delivery of your broadcast message. The larger the mail size, the more time it will take for the mail server on your web host to send to all subscribers.

Special tags can be used to add a personalization touch to your outgoing messages. These are discussed below:

Personalize

E.G.G.S.™ allows you to personalize your message to every subscriber in your list. You can use E.G.G.S.™ subscriber variables %FullName% and %EmailAddress% in your mail which will be automatically replaced by full name and email address for each subscriber that is being mailed.

For example, the following text:

Hello %FullName%, please confirm that your email address is %EmailAddress%

Would appear differently for different subscribers John and Cynthia, for example:

John would receive the following message:

Hello John Anderson, please confirm that your email address is john@aol.com

On the other hand, Cynthia will receive the following:

Hello Cynthia Lee, please confirm that your email address is cynthlee@rogers.com

This provides a way for you to directly address your customers rather than a generalized mail which tends to be less affective in getting attention.

Similarly you can personalize the subject line of your broadcast email:

Important message for %FullName%

Special offers for %FullName%

Confirmation mail for %FullName%

Account Activation for %FullName%

Furthermore, another important tag is %RemoveLink% which you can use anywhere in the email message to automatically place a unsubscribe link.

Usually this tag goes at the end of the email or optionally at the top of the email message as well. In HTML format, it will be displayed as a link named “Unsubscribe” otherwise in plain text; it will be displayed as a full URL. So you can use this tag as:

To unsubscribe %RemoveLink%

Which will be displayed as:

Click to Unsubscribe

Note: Keep in mind that all autoresponders created in E.G.G.S. ™ automatically display the un-subscription link at the very end of all outgoing emails.
